Sistema integrado de trámite documentario para DIGESA

Abstract

Las entidades públicas vienen implementando un sistema integrado de trámite documentario permitiendo el orden documental en sus unidades orgánicas, generando con ello un crecimiento económico, laboral, ambiental y dando así el inicio de la digitalización de los expedientes. En DIGESA al tener su registro de expediente y seguimiento en hojas Excel, no permitía realizar la trazabilidad de los expedientes, dado que cada dirección manejaba su propio archivo por la cual se derivó en llamadas telefónicas a las secretarías y ellas informaban al administrador por el estado del trámite. Debido a la demora de las solicitudes de trámites se propuso un sistema integrado de trámite documentario que permita brindar el apoyo en la búsqueda, recepción y movimientos de expediente generando un orden documental con la norma ISO 30301 para el proceso de gestión. Este proyecto dependió de la tecnología donde se podría desplegar la solución. Se analizó el proceso inicial que se venía manejando con los respectivos módulos del sistema que se requería en la entidad por lo que se fomentó una satisfacción al personal y confianza en la atención de trámites.

In DIGESA, having its file registration and monitoring in Excel sheets, it did not allow traceability of the files, since each address managed its own file, which resulted in telephone calls to the secretariats and they informed the administrator about the status. of the procedure. Due to the delay in requests for procedures, an integrated document processing system was proposed that would provide support in the search, reception and movement of files, generating a documentary order with the ISO 30301 standard for the management process. This project depended on the technology where the solution could be deployed. The initial process that was being handled was analysed with the respective modules of the system that was required in the entity, thus promoting staff satisfaction and confidence in the attention of procedures.
